Which AI RFP software suits a small team?
The short answer: AI RFP software helps a company answer an RFP (request for proposal), which is a long list of questions a buyer sends before choosing a seller. It finds your past answers, drafts new ones from your own documents, sends hard ones to the right person and fills in the buyer's file or website. Here is what fits each kind of team, with prices.
Updated October 2026
- If you are a small team and want to know the price up front: AutoRFP.ai is $899 a month, paid yearly, for 24 projects a year. 1up has a free plan (50 answers a month) and paid plans from $300 a month for 1 questionnaire, or $3,060 a year for 12. DeepRFP is $89 per user a month, with a 7-day trial and no card.
- If your RFP volume goes up and down and you want to pay for what you use: Conveyor charges on usage and Inventive AI charges per RFP, both with no fee per person. Tribble prices its RFP product per project. All three give you a quote, not a list price.
- If you have sales engineers and want a team to set things up: SiftHub, Iris and Arphie sell by quote.
- If you have a proposal team and a yearly budget: Loopio is quote only. Responsive starts from $10,000 a year.
- If you answer public tenders (government buying): Tenderbolt is quote only, so book a demo.
Prices are as of 19 October 2026 and can change. Confirm the price with the seller before you buy.
Who is this AI RFP software for?
This page is for founders, sales engineers and the one person who owns proposals at a company of about 1 to 50 people. You sell something. Customers send you long lists of questions before they buy.
It covers the seller's side only. It does not cover software that a buyer uses to send out RFPs and compare suppliers, or RFP templates.
What do RFP, DDQ and security questionnaire mean?
- RFP (request for proposal): a document in which a buyer asks several sellers to answer set questions and give a price. An RFI (request for information) asks for facts. An RFQ (request for quotation) asks for a price.
- DDQ (due diligence questionnaire): a list of questions about your company, often on money, law and security, that a buyer sends before a deal.
- Security questionnaire: a list of questions about how you protect customer data.
- Knowledge base: the past answers and documents the tool reads to write new answers.
- Portal: a website where the buyer asks you to type your answers.
- SOC 2: a report from an outside auditor on how a company protects data. A SOC 2 logo is not the report, so ask to see the report itself.
- ISO 27001: an international security standard that outside auditors certify.
- SSO (single sign-on): one login that opens all your work apps.
- CRM: the app where you keep customers and deals, such as Salesforce or HubSpot.
- API and MCP: ways for other software, including AI tools, to connect to a product.

Each card shows who the tool fits, what it costs and what it automates. Prices are in US dollars as of 19 October 2026.
How to read the bars: each card shows six, for Answer quality, Library, Review and teamwork, Integrations, Price clarity and Setup. Longer bars mean a stronger fit on that point. The Fits line tells you who each tool suits.

Which one fits your team and your yearly volume?
If you are one person who answers a few questionnaires a year
Look at 1up Free (50 answers a month) or the DeepRFP trial (7 days, no card). Check each plan's count against your own year: AutoRFP.ai's smallest plan covers 24 projects a year, and 1up's Starter covers 12 questionnaires a year.
If you are a small team that answers 1 to 4 a month (about 12 to 50 a year)
AutoRFP.ai Scale covers 24 projects a year and Accelerate covers 50. 1up Starter and Plus cover 12 to 144 questionnaires a year on yearly billing. Inventive AI charges per RFP and lets unused RFPs roll over. It is quote only, so ask for a quote.
If many colleagues add answers (a team of 10 to 50)
AutoRFP.ai and Inventive AI include unlimited users, and Conveyor has no per-user fees. DeepRFP and Iris price per user.
If most of your work is security questionnaires
Eleven of the 12 tools cover security questionnaires in full. Conveyor also hosts a Trust Center. DeepRFP covers them in part, and other tools may suit high volumes better.
If you already keep a library of approved answers
Loopio is built around a content library, with unlimited library entries from its first plan. Responsive suits a dedicated proposal team with a yearly budget and starts from $10,000 a year.
If a person must approve every answer before it goes out
Review steps are built into AutoRFP.ai, 1up, SiftHub, Conveyor, Loopio, Inventive AI, Tribble, Iris and Arphie.
If you answer public tenders or sell in Europe
Look at Tenderbolt.
What costs extra on top of the plan price?
Read the limits, not only the headline price. Figures are as of 19 October 2026.
- Caps on how much you can answer. AutoRFP.ai counts projects: 24 or 50 a year. 1up counts questionnaires: 12 to 144 a year on yearly billing, plus upload caps of 50 or 200 files.
- Add-ons. Loopio sells translations, onboarding packages and industry integrations. Responsive sells CRM and API integrations and an MCP server. 1up sells an MCP plan at $50 a month plus automation usage.
- Usage limits. At SiftHub every action uses up transactions, and the limit can differ by plan.
What should you check before you pay?
Ask these six questions of any seller.
- What does the plan count? Projects, questionnaires, users or usage. Work out your own yearly number first.
- Do unused RFPs roll over? At Inventive AI they do. Ask the others.
- Are your documents used to train models? AutoRFP.ai never uses your content to train shared AI models. 1up and DeepRFP do not use it to train any AI model. Conveyor does not let third-party AI providers train on it and uses only anonymized, combined data to improve its own AI. Arphie has zero data retention agreements with model providers (the AI companies behind the tool agree not to keep your data). For the other tools, ask.
- Can a person approve every answer? The table shows which tools build in a review step.
- What happens at renewal? At AutoRFP.ai the price changes only at renewal. At Responsive 12 months is standard.
- Can you see the security report? Iris makes its SOC 2 report available under NDA. For the other tools, a logo is not the report, so ask to see it.
Do you need sales proposal software instead?
These four build and send sales proposals and quotes, and collect e-signatures. They do not answer long question lists, so they are not compared here. Prices are in US dollars, as of 19 October 2026.
- PandaDoc: Free (5 documents a month). Paid plans start at $19 per seat a month on yearly billing.
- Proposify: Paid plans start at $35 per user a month on yearly billing.
- Qwilr: Paid plans start at $35 per user a month on yearly billing.
- Better Proposals: Paid plans start at $13 per user a month on yearly billing.

Frequently asked questions
What is AI RFP software?
It is software that helps a company answer an RFP, a DDQ or a security questionnaire. It reads your documents, drafts answers, sends hard questions to the right colleague and fills in the buyer's file or website. A person should still read each answer.
How much does RFP software cost?
It runs from free to more than $15,000 a year, and most tools are quote only. 1up has a free plan and goes up to $15,300 a year on yearly billing. AutoRFP.ai is $10,788 or $15,588 a year. Responsive starts from $10,000 a year. DeepRFP is $89 or $149 per user a month. Eight of the 12 tools are quote only for the RFP product.
Is there free RFP software?
Yes, with limits. 1up has a free plan with 50 answers a month. DeepRFP has a 7-day trial with no card. Conveyor's Free tier covers its Trust Center only, with no questionnaire automation.
What is a security questionnaire?
It is a list of questions about how you protect customer data, which a buyer sends before signing. Eleven of the 12 tools here cover them in full. DeepRFP covers them in part, and other tools may fit better for high volumes.
What does Loopio do?
Loopio is a response platform for RFPs, DDQs and security questionnaires. It is built around a library of approved answers that its AI drafts from.
What is RFPIO called now?
Responsive. The company was founded in 2015 as RFPIO, and its Emerging edition starts from $10,000 a year.
Can ChatGPT answer an RFP?
ChatGPT is a general chatbot, not an RFP tool, so it is not compared here. The tools on this page add the RFP steps: connecting to your documents, keeping a library, assigning questions to people, tracking deadlines and filling in portals.
How long does setup take?
From 24 hours to six weeks, depending on the tool. Tribble can go live in as little as 24 hours. AutoRFP.ai onboarding takes place within 48 hours. Switching to Arphie usually takes less than a week. Loopio takes as little as 15 to 30 days, or 4 to 6 weeks for global rollouts.
Which RFP tools have SOC 2?
Ask each seller for its SOC 2 report before you buy. A SOC 2 logo is not the report, so ask to see the report itself. Iris makes its report available under NDA.
In short: which AI RFP tool should you look at first?
- If you are a small team and want to know the price up front, look at AutoRFP.ai, 1up or DeepRFP.
